The UW has several different categories of employees including academic personnel (faculty, librarians, post-doctoral associates, senior fellows, visiting scientists, etc.), staff (classified, professional, hourly, temporary), academic student employees (ASE, GSA), students (undergrads and graduate), and volunteers. Foreign nationals on a visa can fall under any of the categories.
Academic HR, UW Human Resources and the Integrated Service Center each play a critical role in ensuring that the University has the HR practices, programs and systems needed to serve over 54,000 employees.
Academic HR serves all three campuses of the University of Washington as a central resource for the recruitment, hiring, retention and promotion of faculty, librarians and academic staff.
UW Human Resources (UWHR) provides staff human resources management services to the entire University and health system in the following areas: employment, compensation, professional development, employee relations, leave administration, HR information services, and HR policy development, analysis and compliance. In addition, UWHR’s responsibilities for labor relations, benefits, organizational development, violence prevention, disability accommodation services, and employee engagement extend to all faculty and staff at the University of Washington.
Integrated Service Center (ISC) works closely with UWHR, Academic Personnel, UW-IT, other central business units, University leadership, departments and HR administrators to support faculty, staff and students with their payroll/HR-impacting information in Workday. Workday is the centralized, cloud-based software program the UW uses to manage human resources, time-tracking, payroll, benefits processes across the University, the Medical Centers* and other off-site facilities. Visit the ISC website to access Workday, view instructional videos and user guides, or to contact ISC representatives.
*Please note: The Medical Centers continue to use Kronos for time-tracking and payroll.
Additional information pertaining to international faculty can be found on the Academic Personnel’s Visas page, and additional information pertaining to international staff can be found through International Student Services. You should note that the University does not sponsor visas for staff employees.

- Academic Student Employees (ASE) - Teaching, Research and Staff Assistants
Graduate students hired as Teaching, Research or Staff Assistants and other titles are Academic Student Employees (ASE) covered by a bargaining unit contract. ASEs are hired directly by the employing department. ASE positions are often committed to an academic department's own graduate students. Any positions not filled by the hiring department's own commitments must be advertised through UWHIRES. HR Operations handles any human resource issues.
The union contract provides details about job recruitment, appointments, job definitions, leave time, etc. An academic student employee (ASE) employed as a TA is paid at the salary rate applicable to the department in which s/he is serving as a TA. An academic student employee (ASE) employed as an RA is paid at the salary rate applicable to her/his home academic department, no matter where on campus s/he is employed as an RA.
